Abstract

As students and other professionals become so dependent on email for internship and job opportunities, managing the confusing and unstructured communication becomes quite a challenge. This research presents an AI-backed email assistant that leverages large language models (LLMs) to convert unstructured email body and attachment contents into clear, concise summaries and structured data representations. It extracts essential information in JSON, classifies emails by intention—for instance, internship, job, or other—matches resume against job postings, and then provides an RAG-based conversational chatbot for user queries. An interactive dashboard is also provided for major due dates and offers comparison. In evaluations, our LLM-based summarizer achieved substantially higher relevance than template methods, and combined extraction showed improved overall precision. Simulated user tests demonstrate 65%-time savings in email triage and decision-making, proving the potential of unified AI assistance in career email handling. The system successfully identifies and triages internship/job offers with over 90% accuracy, significantly improving user decision- making speed.
